About this Role:
This role provides first line administrative support to Pharmaceutical Press Ltd. under the supervision of the Administration Manager, ensuring the continuity and coordination of tasks across departments. As a member of a small Administration team, this role may also deputise for the Administration Manager and other team members as required.
Main Accountabilities:
To provide administrative support for the Administration Manager as a member of the Administration team, assisting the smooth flow of work across and between departments including diary and inbox management;
To provide appropriate administrative support to the wider Publishing team, including drafting correspondence; contract processing; credit card reconciliation; arrangement and coordination of travel and meetings; provision of papers in advance of meetings and ensuring appropriate follow up; minuting meetings; and assistance with general administrative record keeping, data management tasks and processing;
To undertake or coordinate the provision of information, researching and assembling information from information sources as required;
To assist in the development and maintenance of administrative and information procedures, such as travel booking, room booking, office/technical supplies and other functions as appropriate.

Success Measures:
Effective administration ensuring smooth flow of work within and across departments;
Efficient handling of cross department business, working closely with other administrators and senior staff when required;
Maintenance and development of administrative and information procedures including IT systems which are compliant with GDPR legislation;
Effective facilitation for key meetings is provided.

The Candidate Profile:
Essential Skills, Experience and Knowledge for the role:
Graduate calibre (or equivalent) with previous administration skills and experience;
Familiar with use of Microsoft Word, PowerPoint, Excel and Outlook, the Internet and creating/maintaining computerised records; interest in learning new technologies is desirable;
Ability to work in a high-pressured environment and prioritise effectively;
Good written English and ability to take minutes and produce correspondence to a professional standard;
Ability to develop and implement administrative systems and procedures, using information and communication technology;
Effective at building relationships and working flexibly across professional and operational boundaries.
